How to set up Klokwork Team Console using Dropbox Shared folders.

 
The Klokwork Team Console allows managers to create projects and then assign users to those
projects. Timesheets can then be collected for reporting and billing purposes.
 
For companies that do not have all users connected to the same network Klokwork Team
Console can be set up using Dropbox to share projects and timesheets. Each user that would like
to use Klok in this manner should have their own Dropbox account.  Available from  (http://db.tt/u17ogMI)
 
PLEASE READ THIS ENTIRE DOCUMENT BEFORE STARTING THE SETUP
 
1. Install Klokwork Team Console on a management pc. This pc should be connected to the
internet.
2. Register for a free Dropbox account using this link (http://db.tt/u17ogMI) if you do not have an
account.
3. Install the latest Dropbox client on the same pc as the Klokwork Team Console.
4. In the Klokwork Team Console create your projects and users then assign users to
projects as needed.
 
If Dropbox is installed successfully you will see a folder called "Dropbox" on the desktop. (The
path is something like "C:\Users\[USERNAME]\Documents\My Dropbox" on Windows 7)
 
1. Create a new folder inside the above folder called "KlokworkTeamConsole"
2. Create a subfolder inside "KlokworkTeamConsole" for each user.
For Example create
C:\Users\[USERNAME]\Documents\My Dropbox\KlokworkTeamConsole
then create
C:\Users\[USERNAME]\Documents\My Dropbox\KlokworkTeamConsole\user1
C:\Users\[USERNAME]\Documents\My Dropbox\KlokworkTeamConsole\user2
C:\Users\[USERNAME]\Documents\My Dropbox\KlokworkTeamConsole\user3
 
You must then share each users folder with the corresponding user.
 
1. Right click on the folder and selecting DROPBOX then SHARE THIS FOLDER.
2. You can then enter that user’s Dropbox account name. The user will receive an email
with a link to confirm the shared folder.
 
When a user confirms the shared folder, a folder will be created in their Dropbox folder
matching the username you specified for them in the console.
For Example
C:\Users\[USERNAME]\Documents\My Dropbox\user1
 
Once the folders are shared correctly you can then set up Klokwork Team Console and the Klok
desktop client to use the shared folders.
 
To set up the Klokwork Team Console to publish project lists to the correct folder please follow
the steps below.
 
1. On the settings screen specify the Klokwork folder location to be the folder you created
in the Dropbox folder
C:\Users\[USERNAME]\Documents\My Dropbox\KlokworkTeamConsole
2. Click the Publish Projects button at the top of the console to generate a Projects.xml file
in each user’s folder. The file will contain all the projects that were assigned to each user.
 
To set up Klok to synchronize with each user’s Dropbox folder follow the steps below.
 
1. Install Klok on each user’s machine
2. Enter the license key and activate it on the Tools > Preferences screen or in the popup
that appears when you first launch it
3. Download the Klokwork Team Connector from our website at http://getklok.com/
KlokworkTeamConnector.html. The connector is packaged as a ZIP file. Do not extract
the zip file, it will be installed as a is.
4. In Klok, go to the Tools > Preferences > Plugins screen and click the Install Connector
Plugin. Select the ZIP file that was downloaded and follow the on screen instructions.
5. Once installed, it will need to be configured. In the bottom left corner of Klok, it will
say “Offline”. Click on that button to open the connector panel. This is where you
will download project and upload time entry data. But first, you will need to select the
Connector Configuration link to set up your Dropbox folder as the transfer location
6. In the Connector Configuration dialog, specify that you would like to use Network File
Mode. (In some versions of the connector this may be labeled Download Url). In this
field, you must specify your Dropbox folder as the Network Path. For username, you
must specify the name of the sub folder that was shared with you. Note that this folder
may not be named the exact same name as was specified in the administrator’s Dropbox
folder.
7. Click Save Change and the connector is ready to use
 
When using a connector with Klok, it is best to start with a blank database as the console will
now become the system of record for projects. To create a blank database follow these steps.
 
1. Go to the Tools > Preferences > General Screen and make note of the folder specified in
the Data File Location field
2. Quit Klok
3. To create a blank database, you can just go to that folder and remove or rename the
klok.db file so that Klok will generate a new one the next time it is launched. If you move
the file to a different location, you can always view that data in Klok by specifying its
location in the data file location field.
 
Once the connector is setup and you have a blank database created you can import your project
list.
 
1. Launch Klok
2. Notice in the bottom left corner, it will now say “connected”. Click there to open the
connector panel.
3. Click the Download Projects button to load your list of projects.
4. Then you can track your time against those projects as you normally would
5. At the end of the time period of your choosing, click on the “connected” button to open
the panel.
6. Click Submit Time Entries
7. Select the start and end dates you would like to submit and click Apply
8. Your time entry data will be put into your local Dropbox folder. Dropbox will handle
synchronizing it with the machine that the console is on.
 
Importing time entries into the console
 
1. In the console, click the Import User Entries button to pull in the time submitted by all
users
